When you submit a customer agreement, register for the customer portal, place an order, contact us, or correspond with us, you may provide:

- Address information — physical receiving address, billing address, resale address
- Regulatory information — cannabis licensing details, resale certificates, state-issued credentials

- Account credentials — the password you choose for the LeafHub Customer Portal (stored as a one-way hash — we cannot read it)
1.2 Information collected automatically
When you use our site or portal we may automatically collect:
- Technical information — IP address, browser type and version, operating system, referring URL, session identifiers
- Usage information — pages viewed, links clicked, time spent on pages, search queries within the portal
- Cookies and similar technologies — small files we use to keep you signed in, remember your cart, and measure site performance
1.3 Information collected from third parties
We receive limited information from the service providers that help us operate, including payment status updates from QuickBooks Online when an invoice is paid, and email delivery / open / click data from SendGrid.

- Review and approve customer agreements and verify licensing & eligibility
- Process and fulfill wholesale orders, including production, packaging, and dispatch
- Generate invoices and accept payment via QuickBooks Online & QuickBooks Payments
- Communicate with you about your account, orders, status updates, and support requests
- Send transactional emails (order confirmations, status changes, invoices, password resets)
- Send occasional marketing or promotional emails — only with your consent, and you can unsubscribe at any time
- Comply with applicable Maryland and federal regulations governing the cannabis industry, including recordkeeping and reporting obligations
- Detect, prevent, and investigate fraud, abuse, and security incidents
- Operate, maintain, and improve our website, portal, and internal CRM
3. How We Share Your Information
We do not sell your personal information. We share information only in these limited circumstances:
3.1 Service providers
We work with carefully selected vendors that process information on our behalf and only for the purposes we authorize. These currently include:
- Intuit / QuickBooks Online — invoicing, accounting, and payment processing. Information shared includes customer name, billing email, billing address, invoice line items, and invoice totals. Intuit’s privacy practices are governed by their privacy statement.
- SendGrid (by Twilio) — transactional and marketing email delivery. Information shared includes your email address and the contents of the emails we send to you.
- Web hosting & database providers — we host LeafHub’s systems on commercial cloud infrastructure that processes data on our behalf.
3.2 Legal & regulatory disclosures
We may disclose information when we believe in good faith that disclosure is required by law, regulation, court order, subpoena, or governmental request, or to protect the rights, property, or safety of LeafHub, our customers, or others. Cannabis is a regulated industry, and we may be required to report certain information to state authorities.
3.3 Business transfers
If we are involved in a merger, acquisition, financing, or sale of all or part of our business, customer information may be transferred as part of that transaction, subject to standard confidentiality protections.
4. How We Protect Your Information
We use commercially reasonable administrative, technical, and physical safeguards designed to protect your information from unauthorized access, disclosure, alteration, or destruction. These include:
- Encrypted (HTTPS/TLS) transport for all website and portal traffic
- Passwords stored as one-way hashes — we never store plaintext passwords
- Encrypted storage of sensitive integration credentials (e.g., QuickBooks access tokens)
- Role-based access controls inside our internal CRM — only authorized employees can view customer data, and only on a need-to-know basis
- Routine security review of our code, dependencies, and infrastructure

5. Cookies & Tracking
We use first-party cookies to keep you signed in to the customer portal, remember your shopping cart, and run basic analytics. You can disable cookies in your browser settings, but parts of the portal will not function correctly without them. We do not use cross-site advertising trackers.
6. Your Choices & Rights
You have the following choices regarding your information:
- Access & correction. You can view and update the contact and address information on your customer profile by signing in to the portal or by emailing support@leafhubsolutions.com.
- Marketing emails. You can unsubscribe from promotional emails at any time using the link at the bottom of those emails. Transactional emails (order confirmations, invoices, password resets) will continue regardless because they are necessary to operate your account.
- Account deletion. You can request that we delete your account by emailing support@leafhubsolutions.com. We may need to retain certain records (invoices, regulatory documentation) for the period required by law even after deletion.
Residents of California, Virginia, Colorado, Connecticut, Utah, and other jurisdictions with applicable privacy laws may have additional rights to access, correct, delete, or restrict processing of personal information. To exercise these rights contact us at support@leafhubsolutions.com.
7. Data Retention
We keep your information for as long as your account is active and for a reasonable period afterwards to comply with our legal, regulatory, accounting, and tax recordkeeping obligations. Cannabis-industry regulations may require retention of certain order and transaction records for several years.
8. Children
LeafHub services are intended for licensed cannabis businesses and the adults who operate them. Our website is not directed to children under 21 and we do not knowingly collect information from anyone under 21.
9. International Users
LeafHub operates in the United States. If you access our services from outside the United States, your information will be processed in the United States, which may have data protection laws different from those of your country.
10. Changes to This Policy
We may update this policy from time to time. When we make material changes we will update the “Last updated” date at the top and, if appropriate, notify you by email or via a notice in the customer portal. Continued use of our services after changes constitutes acceptance of the updated policy.
